About this statement
Butterfly Babysitting Agency is a small babysitting agency serving Hobart, Launceston and other parts of Tasmania. We look after children, and we look after your family's information with the same care.
This statement covers information you give us through our website, by email, phone or message, on our event childcare registration forms, and on our outing permission forms. It is a short, interim statement: our full privacy policy is being finalised and will replace this page soon.
What we collect
We only collect what we need to arrange safe, reliable care.
- When you book a babysitter: your name, phone number and email; the address where care will happen (your home, hotel or holiday accommodation); the dates and times you need; your children's first names and ages; and anything you choose to tell us about your children's care, such as routines, allergies or medical needs.
- When you enquire about events or conferences: your name, organisation, contact details and event details.
- When you register your children for event or conference childcare: your contact details, emergency contacts, your children's names and ages, and any care, allergy or medical information you give us on the registration form.
- When you give permission for an outing with your babysitter: your name and contact details, a second emergency contact, your children's names and dates of birth, and any allergies, medical information and emergency medication.
- When you email, call or message us: whatever you include in your message.
- When you visit our website: basic, anonymous visitor statistics through Cloudflare Web Analytics. This does not use cookies and does not identify you personally.
We do not take card or bank details through this website.
Why we collect it
We use your information to:
- arrange and confirm your booking and match you with a suitable babysitter
- give your babysitter what they need to care for your children safely
- send you booking confirmations, payment details and quotes
- answer your questions
We won't send you marketing unless you ask us to.
Who sees it
Your details are seen only by Heidi (the owner) and the babysitter(s) caring for your children. Event and conference organisers do not see the childcare registration forms you complete.
We never sell, rent or trade your information. We would only share it with anyone else if the law requires it, or if a child's safety depends on it in an emergency (for example, telling paramedics about an allergy).
Photos of your children are only shared with your permission, and we only publish testimonials with the writer's permission.
How we store it and for how long
Form submissions are handled by our website host, Netlify, and delivered to our business email account. These providers may store data on servers outside Australia.
Your babysitter receives only the details they need for your booking, usually by text message or email, so these may be kept on their personal phone or device. Our babysitters must keep your information confidential, use it only to care for your children, and delete it when it is no longer needed. If you pay your babysitter directly, they will also see the payment details you use.
We keep booking records only as long as we need them to run the business and meet our record-keeping obligations. After that, we delete them securely.
Your choices and how to contact us
You can ask us at any time to see the information we hold about you, or to correct it if anything is wrong. You can also ask us to delete information we no longer need. We'll do this where we can, but we may need to keep some records, such as booking and payment details, to meet our legal and record-keeping obligations.
